PRINCIPAL ROLES AND RESPONSIBILITIES

A new grant has been secured funded by the European Commission for a four year project to be implemented in Indonesia with a local CSO. The aim of the project is to enable empowered and gender-responsive small-scale farmers and producer organizations to adopt sustainable practices, effectively plan and implement actions, and influence governance structures and economic systems to promote equity and sustainability. The Unit is now recruiting a Project Officer to coordinate the project together with a Project Field Coordinator, to be based in Indonesia.

The Project Officer (75% FTE) will play a key role in the project’s coordination, financial and administrative management, and compliance with European Commission requirements. The post holder will take the lead in meeting reporting obligations towards the EC, engaging with stakeholders, and supporting the project's implementation. Specifically, the Project Officer will:

  • Ensure effective start-up of the project, organising the project’s kick-off meeting with partners and setting up project management and reporting mechanisms.
  • Ensure coordination among all project partners resulting in effective project implementation, including the planning and  delivery  of annual project management meetings with partners.
  • Compile internal and donor narrative reports on project progress and challenges.
  • Compile financial reports, maintain project financial documentation and process financial expenditure (in coordination with the Finance team).
  • Ensure compliance with and visibility of donor requirements.
  • Contribute to the implementation of the project’s monitoring and evaluation plan (in close collaboration with MEL experts).
  • Act as the primary contact for the European Commission and the Consortium Steering Group, providing progress updates and reports.
  • Manage and maintain the project’s risk matrix by identifying potential risks, assessing their impact, and implementing mitigation strategies in collaboration with project partners and the Consortium Steering Group to ensure project objectives are met.

Additional project management tasks, and contribution to the IPPI team’s workplans will be expected that are consistent with the level and responsibilities of this post.

SKILLS REQUIRED

Level of education: The position holder will have a bachelor’s degree in development, business, international relations or comparable qualifications or another relevant field. 

Years of professional experience: A minimum of 2 years’ experience in a relevant area of work.

Job Specific Competencies/knowledge

  • Grant-management: overseeing the entire grant process, reporting outcomes and monitoring spending.
  • Grant-financial management: overseeing the grant budget, ensuring compliant spending, and maintaining accurate financial records for internal use and reporting, and for external project auditing.
  • Planning and Execution: development and monitoring of project workplan, and managing resources to achieve objectives, including identifying risks and oversight of the project’s governance setting clear expectations for the implementing teams and stakeholders.
  • Monitoring and Controlling: Tracking project progress, resolving issues, and effective budget managing, handling changes to the project plan or scope effectively.
  • Stakeholder Management: Maintaining clear communication and active engagement with project implementing partners and other relevant stakeholders to keep them informed and involved. Providing regular updates and reports on project progress and status to the project’s steering committee and internal staff.
  • Closing: Formally closing the project after completing all deliverables and evaluating its overall performance, including documenting final outcomes and lessons learned for future use, and archiving all financial expenditure documentation for future ex post audits.

TERMS AND CONDITIONS

  • This is a fixed-term position (75%) for a duration of 48 months within Fairtrade International. The exact start date will depend on the signing of the grant agreement with the donor.
  • Location is at Fairtrade International offices in Bonn, Germany with the opportunity for hybrid work arrangements
  • The office language is English.
  • Salary as per the Collective Bargaining Agreement for the Wholesale and Foreign Trade Industries for North Rhine Westphalia Group V and over tariff payments
